Position Overview:

Saint Olaf Catholic School seeks a friendly, organized, professional School Receptionist to join our dedicated administrative team. As the first point of contact for students, parents, staff, and visitors, the Receptionist is crucial in providing exceptional customer service and creating a welcoming environment. This position requires excellent communication skills, multitasking abilities, and a passion for supporting the school community.

Responsibilities:

1. Greeting and Welcoming: Warmly welcome all visitors, including parents, students, and guests, and give them a positive first impression of the school. Ensure that visitors sign in and out following security protocols.

2. Answering Phone Calls: Handle incoming calls promptly and professionally, directing inquiries to the appropriate staff members or departments. Provide accurate and helpful information to callers.

3. Student Attendance and Records: Maintain accurate student attendance records and communicate absences to parents and teachers as required. Update student information in the school database.

4. Administrative Support: Assist with various administrative tasks, including typing, data entry, filing, and organizing documents. Coordinate and distribute school announcements and informational materials.

5. Parent and Staff Communication: Facilitate effective communication between parents, staff, and teachers. Relay messages and pertinent information to the appropriate recipients promptly.

6. Managing Visitors: Monitor the school entrance and ensure visitors follow the school's sign-in and security procedures. Issue visitor badges and maintain visitor logs.

7. Medical and Emergency Situations: Administer basic first aid when necessary and notify the school nurse or appropriate staff in case of medical emergencies.

8. School Calendar and Scheduling: Maintain the school calendar, scheduling appointments, meetings, and events as needed. Coordinate room reservations and facility usage.

9. Student Check-In and Dismissal: Assist with student drop-off and pick-up procedures, ensuring student safety and adherence to school policies.

10. Mail and Packages: Sort and distribute incoming mail and packages, and assist with outgoing mail as needed.

11. School Supplies and Inventory: Monitor and maintain office supplies, ensuring an adequate inventory at all times. Place orders for supplies as necessary.

Qualifications:
- High school diploma or equivalent required; additional education or certification in office administration or related field is a plus.
- Proven experience as a receptionist or in a similar customer service role is preferred.
- Excellent verbal and written communication skills.
- Strong organizational and time-management abilities with a keen eye for detail.
- Proficient in using office equipment, such as computers, printers, and telephone systems.
- Familiarity with office software applications, including Microsoft Office (Word, Excel, Outlook, Google).
- Ability to handle multiple tasks simultaneously and maintain composure in a fast-paced environment.
- Demonstrate a friendly, professional demeanor and excellent interpersonal skills.
- Knowledge of school policies and procedures is desirable but not mandatory.

Working Hours:
The School Receptionist will work 30-40 hours weekly, Monday through Friday, during regular school hours. Some flexibility may be required to accommodate school events and activities.
